We’re looking for a professional, reliable Receptionist to be the welcoming face and organisational backbone of our Munich office. You’ll ensure that visitors, guests, and team members experience a smooth, friendly, and efficient office environment every day. This role is focused on front desk, facilities, and basic office support with some involvement in event planning, executive admin, or travel booking.

What You’ll Do

  • Greet and assist all visitors, guests, and vendors with warmth and professionalism.

  • Manage incoming calls and emails.

  • Keep the reception area and communal spaces tidy, organised, and inviting.

  • Receive, sort, and distribute mail and deliveries.

  • Conduct daily checks and resets of meeting rooms to ensure they’re always ready for use.

  • Monitor and replenish office and kitchen supplies.

  • Report facility issues and coordinate with cleaning staff and vendors as needed.

  • Prepare workspaces and access for new hires (desk, keycard, welcome).

  • Support ad hoc basic office tasks as required, like event management, executive support, or project administration.

Job requirements

  • Previous experience as a receptionist, office coordinator, or in a customer-facing role

  • Friendly, professional communication skills in German and English

  • Strong organisational skills and attention to detail

  • Reliability, punctuality, and a proactive, service-oriented attitude

  • Ability to multitask and keep a cool head in a busy environment
